We always think about our next meeting and its agenda, our weekly jour fixe and more meetings evaluating past days and even more meetings scheduled for the next days. Wherever on the world our office might be: We need a place where we can sit down and get organized.
Almost every day in every industry is demanding a new style or concept for meetings. A light-flooded room and a fast wifi-connection in addition to state of the art A/V equipment is not enough anymore. The needs and requirements have changed: Our working space needs to be nice and comfortable, so that a relaxed working atmosphere becomes possible in a team and we can welcome guests and clients in a “different”, surprising surrounding.
Where there is light is also shadow…
One of the most important factors for a successful meeting is light. Thus, the trend of substituting ordinary walls with walls made of glass is constantly growing. It brings a lot more natural light into the room and depending on the location a great view as well. There are also different variations of this: e.g. meeting rooms with floors of glass – for a “flying” meeting. However, the meeting itself should stay in the center of attention. Participants can be amazed with extraordinary rooms but they can also be distracted by the love for detail and the life on the other side of the glass walls.
In this context it is important to have a look at decoration as well: excessive decoration can lead to distractions as well, whereas a naked room can hold boring atmosphere and thus decreasing the level of productivity. We find everything between those extremes in reality: A room decorated like a palace or rustic, naked rooms or quaint rooms that convey the feeling of meeting in an alpine hut. Libraries and old cafés where comfort and productivity go hand in hand are an option as well. A surprising atmosphere opens the own mind. The ones of the colleagues and in the best case: the mind of the partner or client as well. More casual meetings can also be held in colorful rooms.
In contrast to these, there are truly pragmatic concepts: industrial, minimalistic style – with plain decorations and without gigantic window facades, so that there’s actually no room for distractions. Such rooms can be examples for both boosted productivity and sheer boredom.
The crucial point in this jungle is balancing the dynamics – why should we go somewhere else to find productivity in the first place? Or how can we make this productivity to come to us?
Indoor & Outdoor
There is hardly anything more surprising than being able to say „We will work here and now. Productively.” – and it works: In more flexible places we are able to adjust the room to our requirements. There already exists a very diversified pool of ideas considering that, for example attractive, motivating vinyl wall texts or multifunctional walls as well, that can be used as projection screens, whiteboards and pin boards at the same time and thus visualize ideas and make them physically accessible for every participant of the meeting in a matter of seconds.
However, it doesn’t always have to be indoor, mechanically and/or industrially operated: Why not hold meetings in the garden, if the weather is nice? Especially in the summer months this is found more and more frequently. In offices without a garden more and more carpets of artificial turf are purchased – in order to allow the staff to evade the concrete of their daily city life for just a short moment.
Having said this, it’s important for all those new room designs and ideas, without exception: We require multifunctional, movable furniture! It enables every room to adapt to the specific needs of a meeting.
New, fresh concepts are always in vogue – the challenge is combine the right factors for each meeting and for each audience and to transform the capacity of each room into a perfect workspace. Because decoration and atmosphere are also strategic decisions all of us make on a daily basis.
